Reservation and use of facilities and space at the University of South Florida St. Petersburg
is administered through the Space Use Policy.

Reservation Costs
USFSP-recognized department, organization or student organization meetings
No space use fee; all other applicable fees and charges apply
USFSP sponsored or co-sponsored conferences, seminars, workshops, symposia

With registration fee: 100% of use fee, other applicable fees apply
USFSP Sponsorship and Co-sponsorship definition:
USFSP sponsored events are organized by an on-campus organization to which non-USFSP groups and individuals are invited.
Departments and organizations that are sponsoring an institutional event must reserve the space
for their own meetings/events and are not permitted to reserve space for other entities (i.e. other
student organizations, USF departments or non-USFSP entities). At a minimum, for an event to
be considered a USFSP sponsored event the scheduling group must make all reservations, pay all bills,
and serve as the event’s sole coordinator prior to, during, and following the event. In addition, the
purpose of the event must be primarily to serve the particular department or organization that
made the reservation and/or the legitimate patrons of the organization.

USFSP Co-sponsored events are organized by an off-campus organization or on behalf of an off-campus organization to which the co-sponsoring groups members are invited or to which the public is invited.
Departments and organizations that are co-sponsoring an event with an outside entity and
want to reserve space must, at a minimum be a primary event coordinator prior to, during, and following
the event, make the reservations, serve as contact person for the event and be financially responsible
for all bills and invoices. The event must be linked to the mission and or purpose of the USFSP sponsor.

Reservation Process
When an organization/department requests the use of a facility, the following steps are needed.
- Inquire with Reservation Services to see if a facility is available x3-4598
- Complete a Facility Reservation Request Form
- Signature of Financially responsible officer: RVC/Dean/Director/Organization officer
- Chartfields to which to bill charges (if applicable)
- Provide information regarding Room Set-up (a diagram may be required)
- Event Planning Session Appointment (if applicable - must be at least 3 weeks prior to the event)

Parking Arrangements
Facility Reservations do not include parking. Parking on-campus involves additional fees for cars that
do not display a USF parking permit; arrangements must be made in addition to a facility reservation.
Parking availability will vary depending on day of week and time of day, and the needs of the event.
Of prime consideration will be the academic class schedule and faculty and student parking needs.

Equipment and Services
Set-up of the various spaces will depend on the capacities and equipment available for each area. Equipment includes tables, chairs, stage, microphones, etc. The Equipment and Personnel page describes the standard set-up for each space; a set-up other than the standard may incur labor and equipment charges.
- Some set-ups that require more equipment than USFSP owns may require the organizing department to rent the equipment from an off-campus source
- The standard set-up includes specific audio equipment. Audio and video equipment requirements other than the standard set-up will incur charges. Check with Reservation Services for additional equipment availability and costs.
Events that include alcohol or expect large attendance may require one or more USFSP police officers to
be present at the event. For such an event costs will be charged to the event organizer. To ensure the
safety of the university and participants the number of officers and hours the officers will be in attendance
at the event will be determined at the discretion of the USFSP Police Department.
