All active USF employees have the option to receive their annual federal W-2 form electronically via GEMS Self-Service. The speed and efficiency of the electronic W-2 allows those who opt for electronic delivery to securely receive their electronic W-2 earlier than they would receive the W-2 on paper.
By electing to receive an electronic copy, there are no concerns about the W-2 being lost or stolen as it will be accessible in GEMS Self-Service anytime, day or night. If you give consent to receive your W-2 electronically, you will receive an email notification when it is ready for viewing/printing via GEMS Self-Service.
Consent must be received by Sunday, January 13, 2013.
To give your consent and receive your W-2 in Electronic Format:
1. Log into GEMS Self-Service (for a brief tutorial on how to access and use GEMS Self- Service, click here)
2. Select “Self Service” from the Main Menu
3. Click on “Payroll and Compensation”
4. Click on “W-2/W-2c Consent”
5. Check the box next to “Check here to indicate your consent to receive electronic W-2 and W-2c forms.”
6. Click on Submit and you will receive confirmation that your consent was successful
Once consent is received, it will carry over for future tax years unless consent is withdrawn. If you choose to no longer receive future electronic W-2s, you may use the same navigation provided above. When you select the check box and submit, it will revoke your consent.
By electing to receive an electronic W-2, you will no longer receive a paper copy of your W-2. This election is valid for all future W-2 forms unless you decide to revoke your consent or if you are no longer employed with the university. As a bonus, when you elect to receive your W-2 electronically, you will also have access to electronic copies of your 2009, 2010, and 2011 W-2s.
If you instead prefer to receive a paper W-2, no action is necessary and Payroll will provide a paper W-2 by Jan. 31.Please update your current home address in GEMS Self-Service in order to receive the paper format.
